New printers are being rolled out across the University from June 2024 to late 2024

ITDS is rolling out a new, modernised fleet of printers that will replace existing printers.

Important: When using a new printer, select the ‘Follow-You-Print-Q’ printer option when printing documents.

Using a non-replaced printerÌý

Until the new printers are fully rolled out, the non-replaced printers can still be used – refer to the ‘Using a Non-Replaced Printer’ section below for details.ÌýÌý

  • About the new printers

    The new printers deliver a more sustainable and user-friendly printing experience with increased accessibility.

    Students and staff (including visitors, Titleholders, volunteers, and Post Graduate Research Students) can access any printer across all campuses to print, copy, and scan. Printers in secure areas will have limited access.

    ‘Follow-You-Print-Q’ is the name of the new queue used to print to the new printers (replacing the existing ‘Follow-You’).

    Until further notice, you may see both the 'Follow-You-Print-Q’ and ‘Follow-You' queues in your printing menu.

  • How do I Print to a New Printer?

    To use the new printers, you will need to follow the three steps below:

    1. Install Follow-You-Print-Q (PaperCut Print)

    Not required for University-managed student and staff Windows devices, as Follow-You-Print-Q will be pre-installed on them.

    For personal devices (your personally-owned Windows / Linux laptop) or your University-managed / personally-owned macOS device, follow the relevant link below to install Follow-You-Print-Q.

    You will need to be on the University network, or have VPN enabled if accessing remotely, and do a device 'Restart' after installing.

    1. Register with the new printers

    (All first time users will need to register with a new printer. Tap you ID Card and register - this is a one-time task.)

    First time using a new printer? Take a moment to register your University ID card for printing – once you’ve registered, you can use any printer on all campuses.

    Tap your University ID card and follow the printer on-screen prompts to register.

    Follow You Print Q for Windows

    Select 'Follow-You-Print-Q' from your selection menu on your device.

    1. Print using ‘Follow-You-Print-Q’

    (The 'Follow-you' print option will remain for use with the existing printers where needed)

    Print your document from your device using Follow-You-Print-Q. Then go to the new printer, collect your documents (or scan/copy) then log out of the printer.

  • Important details about the new printers

    Tapping onto the printer to obtain printsÌý

    • You may now need to tap onto (authenticate with) the new printers to release your prints, rather than them being immediately printed. As part of the new printer rollout across the University, it is now a policy of the Vice-Chancellor that Follow-You-Print-Q is adopted to address security concerns relating to direct printing, namely unauthorised personnel obtaining sensitive documents. This important security feature has been in place for some time for many University areas, though is new for some areas.Ìý

    Stapler page limitsÌý

    • The printer stapler can only staple a maximum of 50 pages at a time. If your print exceeds that limit, it won’t be stapled and you will need to use another device to staple it (e.g. a binding machine).Ìý

    Setting Follow-You-Print-Q as the defaultÌý

    • If Follow-You-Print-Q isn’t the default option for printing on your device, follow the instructions in the guide.Ìý

    Scan to Email functionÌý

    • The ‘Scan to Email’ function on the new printers can only email the resultant scan to yourself (not to other University staff, students or external people). This security measure is necessary because emails sent by the printer (on behalf of you) aren’t identifiable and trackable, and have the potential to clog print queues with large documents.Ìý

    Double-sided ScanningÌý

    • To scan a double-sided document, in the ‘Scan’ interface / screen select ‘Settings’ and then ‘2-sided’ as the duplex mode.Ìý

    Disabled USB PortsÌý

    • The UBS ports on the new printers have been disabled and cannot be used to print documents from. This security measure eliminates the potential for cyber attacks through those ports.Ìý

    Reduced number of printersÌý

    • As part of the University’s printer sustainability goals, there are now less printers on site, with the overall University printer fleet reducing by reducing by 84 printers (and the number of different printer models reducing from 94 to 4). Printer audits conducted across the University revealed instances of low printing volumes, justifying a consolidation of some printers to reduce the University’s digital footprint and support overhead. Despite that, printer availability has significantly increased with the new printers being accessible by both staff and students (except for secure-access printers).Ìý

    Rebooting printer after power outage

    • If the new printer isn’t working correctly after a power outage (the network connect can be disrupted), it should be restarted by turning it off and back on again using the Power button on the printer.Ìý
  • FAQs

    The first time you use a printer, you must manually log into it to register your student ID card (a one-time only task, which then applies to all printers) – after that you can use the new printers with or without your student ID card.Ìý

    How do I tap / log into a new printer?Ìý

    • To tap / log into a printer with your University ID card, use the card reader which is positioned on the front-facing side of the printer (the old printers have the card reader on the top-facing side).Ìý

    How do I log out of a new printer?

    • To log out of a printer via its interface, press the ‘exit door’ icon in the top right of the interface (as opposed to the similar looking icon in the bottom left of the screen – if you press that icon, it won’t correctly log you out of the printer).Ìý

    How do I top up my printing allowance?Ìý

    • You can top up your printing balance through the Student print top up page. Enter your desired top-up amount in the form and click ‘Top Up Now’.Ìý
    • Your printing account will be updated immediately after the payment is verified, and you will also be notified of your transaction via email.Ìý
    • Notes:Ìý
      • Self-funded quota amounts are non-refundable.Ìý
      • At the end of each printing period, unused self-funded quota amounts are carried forward into the next printing period.Ìý
      • Self-funded quota amounts will not be refunded upon graduating or leaving the University.Ìý

    What is the 'Home' icon in the bottom left of the printer screen?

    • Avoid pressing the 'Home' icon in the bottom left of the interface – it will take you to a different Home screen from the standard one you see when you tap on to the printer.Ìý

    What if my document doesn’t print correctly?Ìý

    • If you send a 10 page document to the student printers on campus and only 5 pages come out, you may be able to apply for a re-credit of printing quota if you were charged the full amount. If this happens to you, head to Ask Adelaide for further investigation. If the document has printed incorrectly because of user error (for example forgetting to select B&W instead of Colour), generally a re-credit of printing quota won’t be provided. There's no guarantee your request for a printing re-credit will be approved in every situation.Ìý

    Can I print without my student ID card?Ìý

    • Yes! All printers with Follow-You-Print-Q printing have a manual login option. Simply enter your Username credentials (a-number and password) on the printer interface, then press Log In.Ìý

    • There may several reasons why you’re unable to print. Please visit the ‘Troubleshooting’ and ‘Printer Support’ sections of the Printing website for assistance.Ìý

    Sustainability

    With the introduction of the new printers, the University will:

    • Consolidate and reduce the number of printers by approximately 24%, while increasing the accessibility for all Students and Staff (except for those printersÌýin restricted areas).
    • Reduce idle electricity consumption with a smaller printer fleet.
    • Decrease in colour printing usage by setting monochrome as the default for the printers.

Printer SupportÌý

During the initial transition phase, your local Printer Champion (for Staff) and AskAdelaide (for Students) will support you with using the new printers (set-up and registration).

There will also be additional ‘Valet Support’ staff who will provide printer support and additional drop-in training locations you can visit for assistance.Ìý

Ongoing, your main channel for printer support will be ITDS, which can be contacted any time on +61 8 8313 3000 or by logging a ticket via the  (on the MyIT Portal).Ìý

There is a change to the technical support processes for staff printers. Currently, non-replaced staff printers are supported and maintained within University local areas, however the new printers will be fully managed though the ITDS Service Desk and the supplied valet service (except for non-valet sites). This eliminates the printer support overhead in University areas. Printer maintenance matters should be directed to ITDS.
